Every day at 10:00 AM local time, PatientBack checks every patient in your database. If a patient's last visit date + their group's recall interval has passed (e.g. 180 days for Standard), PatientBack generates a personal AI message in their language and sends it via Telegram. If they're not on Telegram, it tries WhatsApp. If neither works, it sends an SMS via Twilio. The whole process is automatic — you just see replies in the morning.
Smart Queue is an AI-calculated priority list updated every day. It scores each overdue patient using: days overdue × patient group weight. Surgery and periodontic patients have a higher group weight, so they rank above routine cleaning patients even if they're overdue for fewer days. The dashboard shows three counters: patients reachable by Telegram, patients only reachable by phone, and critical patients overdue 2+ years. You always know exactly who to focus on.
Each clinic gets a unique deep link (e.g. t.me/YourClinicBot?start=abc123). You can send this link to patients via SMS, WhatsApp, email, or print it on a business card with a QR code. When the patient taps it, Telegram opens automatically and they're connected to your clinic — no registration, no form, no download. From that moment, all reminders go through Telegram.
You set your Google Maps profile link once using the /setgoogle command in your clinic bot. 10 days after each patient's visit, if no new appointment is booked, PatientBack sends a star rating request. Patients who tap 4 or 5 stars immediately receive your Google Maps link with a prompt to leave a review. Patients who tap 1–3 stars do NOT get sent to Google — instead, you receive an admin alert so you can follow up personally.
Many countries allow patients to deduct dental expenses from taxes. PatientBack generates a professional PDF certificate for any patient with one click — listing all their dental expenses for the year, clinic details, and a unique QR code. The QR code links to a verification page so authorities can confirm the document's authenticity. Available in Hebrew, German, and English.
Yes. Any patient can tap "Not now" or "Stop reminders" on any message and will never be contacted again automatically. The dashboard shows all opted-out patients, and you can manually reset their status if they ask to receive reminders again.
All data is stored on a dedicated server with HTTPS encryption and Fernet symmetric encryption for sensitive fields. We never share patient data with third parties. You can export or delete all data at any time. Each clinic's data is fully isolated — no other clinic can access your patients.
